    Import multiple client opportunities

    The ARM module provides an efficient means to import multiple opportunities.

    It is critical that prior to the upload of multiple opportunities, data is accurate and up to date. It is more efficient to update data prior to upload than to correct it later.

    It is strongly recommended that MYP assist in the upload process as this will reduce time and cost in correcting data after the upload. To request this assistance and create a support ticket:

    • Select ‘Lodge support ticket’
    • Complete details + select ‘Data upload quote/request’ from the drop-down menu
    • Attach your data file by selecting ‘Browse’ then ‘Save’

    MYP will then provide quote via this support ticket to manage data as required and complete the upload on your behalf.

    NB: The opportunity name and client name form a unique key. If this combination already exists in the system, a new opportunity will not be created but the existing opportunity will be overwritten.

    NB: It is critical that you read and understand all of the upload functionality listed on the opportunity upload web page.

    To import multiple opportunities:

    • Select ‘Import’
    • Select ‘Spreadsheet’ from the ‘Import type’ drop-down menu
    • Select the ‘Opportunity’ from the form type drop-down menu + select ‘Next’
    • Select the ‘Download spreadsheet’ button
    • Complete + save the spreadsheet
    • Select ‘Browse’ to locate the saved file, select ‘Upload’
    • If notified of errors, correct errors in the spreadsheet and repeat the upload process above.

    It is strongly recommended fields on the upload spreadsheet are carefully reviewed as some have similar names. The fields are provided in the following table:

    The left-hand column relates to the opportunity.

    • Opportunity owner is the staff member who is responsible for the opportunity.
    • Opportunity primary contact name is the name of the person from the client the opportunity is associated with.
    • Opportunity referrer fields are related to the client that opportunity had been referred from.

    The right hand side refers to the client the opportunity is associated with.

    NB: If the client is not already existing within ARM this import will create the client as well.

    NB: Contact email address is not a required field as there does not need to be a contact email address when uploading opportunities. To upload an opportunity with a client, the client must be created first. However, the client can be created during the upload process.

    Custom opportunity templates can be created for recurring opportunities to increase efficiency. To create a custom opportunity template refer to ‘Customise opportunity templates‘. Once an opportunity template has been created, select ‘Template’ and select the relevant template from the drop-down menu. Custom templates can be efficiently copied from one client to another by selecting ‘Copy’, searching for the relevant client and adding the new commencement date before selecting ‘Save’.

    Export client opportunities

    • Select ‘Export’ from the sub-header menu
    • Select ‘Spreadsheet’ from the ‘Export type’ drop-down menu
    • Select the ‘Opportunity’ from the form type drop-down menu + select ‘Download’

    myDocs (MYP document management module) users will be able to view relevant documents that have been attached to this opportunity.

    Opportunity ownership may only be changed by a staff member if the relevant permission ‘Administer opportunity owner’ has been applied (refer to ‘Recommended permissions‘).

    ARM Pro Subscribers can ‘Administer sale items’ when managing opportunities. The drop-down menus in this section are populated by the products created in ‘Customise products, prices + invoicing‘. Subscribers are also able to invoice these items .
