    The TRS is an online survey and should be completed online wherever possible.  In rare circumstances, your client may require a limited number of hard copy surveys for staff who are unable to access a computer i.e. field staff, construction workers.

    Tasks + recommended timeframes

    Task Recommended timeframe
    Survey administrator to complete hard-copy Administration Set-up Form 8 days prior to TRS commencement date
    «Organisation» to send survey notification to staff 7 days prior to TRS commencement date
    Survey administrator to complete all online survey administration components and lock survey 2 business days prior to TRS commencement date
    «Subscriber organisation» to download hard copy survey for distribution to all staff without email access i.e. field staff TRS commencement date
    «Subscriber organisation» to email online surveys and survey instructions to all staff with email access TRS commencement date
    Staff to complete the survey TRS completion date
    «Organisation» to mail all hard copies of completed surveys to «Subscriber organisation» TRS completion date
    «Subscriber organisation» to upload hard copy survey responses and collate survey results Completion date + 6 days
    «Subscriber organisation» to provide survey report/s to «Organisation» Completion date + 10 days

    The following steps elaborate on the required procedure once the survey has been locked.

    Once the survey is locked:

    Download survey hard copy

    • Select ‘Administer surveys’
    • Identify the relevant TRS + select ‘Monitor’
    • Select the ‘Hard copy’ button
    • Download the hard copy survey by selecting ‘Download’
    • Print required number of copies and forward to you client for distribution to staff (or forward the file to your client for printing and distribution)
    • Remind client that completed copies need to be returned to you on the survey completion date and follow-up

    Upload completed hard copies

    • Select ‘Administer surveys’
    • Identify the relevant TRS + select ‘Monitor’
    • Select the ‘Hard copy’ button
    • Select the ‘Upload’ button
    • Enter data as recorded on the hard copy + select ‘Submit’
    • Repeat the above for every hard copy survey. When all hard copies are uploaded, select ‘Confirm’.

    NB:

    • Mixed respondent option must be selected in the initial survey set-up
    • Hard copy surveys can only be downloaded by the subscriber business
    • Hard copy surveys should be completed during the survey period
    • Hard copies cannot be uploaded until the survey start
    • Hard copies may be uploaded after the survey close date until the ‘Confirm’ button is selected
    • When the ‘Confirm’ button has been selected, no further surveys can be uploaded
    • Report generation can be requested after ‘Confirm’ button has been selected
