    The leave process within 94six consists of two distinct parts:

    1. The staff member creates the leave request + submits the application
    2. Dependent on the leave profile the leave request then progresses through a series of approvals
      • Please note: Managers with the appropriate permissions can create, submit, and approve leave on behalf of a staff member.

    When submissions, approvals etc. are selected at each stage, automated email notifications to relevant staff are triggered.

    Where the individual staff member may only be able to view their leave application details, team leaders have the ability to view all 3 steps in the process.

    NB: There is an option to change this process and introduce or remove specific approvals. This is managed process where the Executive Manager also signs off on Leave. The options for each style of leave management can be found 94six > Settings > Leave.

    To commence the leave application process:

    • Select ‘Create’ in the ‘Leave application’ panel

    Staff leave application

    • Select ‘Create’
    • Enter leave details as required, including reasons for leave + relevant supporting documentation.
    • Select ‘Submit leave’. Once submitted, this page is set to ‘read-only’ for the applicant.

    NB: Leave balances can be imported upon initial set up of subscription and then accrue based on settings.

    The following steps are depended on the leave profile settings.

    Leave to be approved by payroll

    The payroll administrator will receive a leave application email containing a link to the leave administration section.

    To complete this section, the payroll and leave administrator is to:

    • Select the link in the email
    • Review + action the application
    • Select ‘Submit’

    NB: Payroll is defined by the permission ‘Remuneration’ in 94six permissions.

    NB: Upon submission, an email will be forwarded to the team leader for review.

    NB: If you use PocketWatch, you must choose how to handle PocketWatch shift replacement when approving leave.

    Once verified and submitted, this page is set to ‘read-only’ and the status is set to ‘Verified’.

    Leave to be approved by team leader, executive staff or selected staff

    The team leader/executive manager/selected staff will receive an email containing a link to the leave team leader section.

    To complete this section, the team leader is to:

    • Select the link in the email, then the ‘Team Leader’ tab
    • Enter date + whether the application had been approved, pending or not approved

    When the team leader approves, disapproves or marks leave as pending, the leave page is locked automatically.

    NB: Only the team leader can unlock the leave process should changes be required.

    NB: Comments captured in the comments section are sent through to the executive manager if there is a two part process for approval. If there is no executive manager approval required, the comments will go directly to the staff member.

    The executive manager will receive an email containing a link to the executive manager section.

    To complete this section, the executive manager is to:

    • Select the link in the email
    • Enter date + whether the application had been approved, pending or not approved

    When the executive manager approves or disapproves, the leave page is locked automatically.

    • Select ‘Finish’

    If the team leader unlocks the leave page, the status of the leave changes to ‘Verified’ allowing the team leader to edit as required.

    Leave status is also conveniently displayed on the 94six dashboard along with any pending leave notifications.

    Leave status displayed as the following colours:

    Orange Pending
    Grey Pre-submission
    Red Incomplete
    Purple Verified
    Blue Submitted
    Green Complete

    NB: Once leave has been approved, an email will be forwarded to the staff member. When archived, leave will still appear on the front dashboard as an historical reference.

    If a leave application has been approved, it can only be withdrawn or edited by rejecting the leave application then if edits are required the application is re lodged.
