    Generate invoice reports

    NB: Reports can only be generated for invoices to NDIA and plan managed claims to NDIA.

    To generate a report:

    • Select ‘GENERATE REPORT’
    • Select the report type 
      • NDIS Bulk Upload File
      • NDIA Reconciliation Report

    NDIS bulk upload file

    NB: Do not change the NDIA bulk upload file name prior to upload to the NDIA as this is used for remitting your invoices + claims in GENIUS.

    NDIS Bulk upload file includes the following fields:

    • Registration Number
    • NDIS Number
    • ABN of Support Provider
    • Support Delivered From
    • Support Delivered To
    • Support Number
    • Claim Reference
    • Quantity
    • Hours
    • Unit Price
    • GST Code

    NB: ‘Registration Number’ is organisation’s NDIS registration number.

    NDIA reconciliation report

    NDIA Reconciliation Report

    • Select the relevant remittance report from NDIA
    • Select ‘GENERATE REPORT’

    This report will have the following fields:

    • Invoice Number
    • Prov Claim Reference
    • Item ID
    • Item Quantity
    • Unit Price
    • Amount Claimed
    • Amount Paid
    • Participant BP (NDIS number)
    • Participant Name
    • Support Start Date
    • Support End Date
    • Service Booking Number
    • Bulk Claim ID

    The only items that will be listed in this report are the invoices that have received a partial payment.

    NB: To avoid upload issues, it is strongly recommended to upload the remittance files with a maximum of 500 items.

    If you need to reconcile your payments, but don’t have a remittance advice from the NDIS. There is a guide included in the ‘Generate report’ pop up.

    As NDIA does not include invoices that are not paid in remittance files, to move funds back to a balance without deleting manually reconcile the invoice or claim and set them to 0 so funds are moved back to the balance.

    Generate GENIUS reports

    Navigate to GENIUS > Reports via the side navigation menu. This is only visible if you have the ‘Generate Reports’ staff permission.

    Dynamics 365 Business Central Document Report

    Select the relevant filters:

    • Invoice type
      • Invoice to NDIA
      • Invoice to client/plan manager
    • If ‘Invoice to NDIA’ selected
      • Reconciled start date
      • Reconciled end date
    • If ‘Invoice to client/plan manager’
      • Sent start date
      • Sent end date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Approval date
    • Document type
    • Document #
    • Invoice #
    • Account type
    • Due date
    • Account #
    • Product code
    • Management type
    • Amount incl. GST
    • NDIS #

    Dynamics 365 Business Central Invoice Report

    Select the relevant filters:

    • Start date
    • End date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Client name
    • Client NDIS number
    • Product
    • Notes
    • GL account number
    • BC dimension 1
    • BC dimension 2
    • Customer type

    Select the relevant filters:

    • Start date
    • End date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Entity name
    • Invoice ID
    • Creation date
    • Start date
    • End date
    • Customer ID
    • Total
    • Cost centre

    GENIUS Budget Usage Report – Accommodation

    Select the relevant filters:

    • Start date
    • End date
    • Roster
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Client name
    • Plan start date
    • Plan end date
    • Booking start date
    • Booking end date
    • Service bookings budget
    • Remaining service bookings budget
    • Remaining budget units
    • Remaining weekly budget
    • Actual units

    GENIUS Budget Usage Report – Community

    Select the relevant filters:

    • Start date
    • End date
    • Team
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Client name
    • Plan start date
    • Plan end date
    • Booking start date
    • Booking end date
    • Service bookings budget
    • Remaining service bookings budget
    • Remaining budget units
    • Remaining weekly budget
    • Actual units

    GENIUS Budget Usage Report – Support Coordination

    Select the relevant filters:

    • Start date
    • End date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Client name
    • Plan start date
    • Plan end date
    • Booking start date
    • Booking end date
    • Service bookings budget
    • Remaining service bookings budget
    • Remaining budget units
    • Remaining weekly budget
    • Actual units

    GENIUS Budget Usage Report – Therapy

    Select the relevant filters:

    • Start date
    • End date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Client name
    • Days to expiry
    • Plan start date
    • Plan end date
    • Booking start date
    • Booking end date
    • Total hours in plan
    • Service bookings budget
    • Remaining service bookings budget
    • Budget utilisation
    • Remaining budget units
    • Remaining weekly budget
    • Remaining weekly budget (hrs)

    GENIUS Civica Accounts Payable Import Report

    Select the relevant filters:

    • Start date
    • End date
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Unique code
    • Creditor category
    • Invoice date
    • Invoice ID
    • Item amount
    • Allocation number
    • Tax code
    • GST amount
    • Transaction description

    GENIUS Client Finance Report

    • Select engagement status (multiple options can be selected)
      • Incomplete
      • Complete
      • Renewal

    • Select ‘GENERATE REPORT’

    This will generate a report with the following columns:

    • Client name
    • Client NDIS number
    • Plan start date
    • Plan end date
    • Booking start date

    GENIUS Invoice + Timesheet Report

    • Select ‘Start and end dates’
    • Select Date range filter as
      • Invoice period start date in range
      • Invoice period within range
      • Invoice approved date in range
    • Select ‘GENERATE REPORT’

    This will generate a report with the following columns:

    • Invoice number
    • Invoice type
    • Client NDIS Number Client Name
    • Product code
    • Total product quantity
    • Product description

    Select the relevant filters:

    This will create a report with the following columns:

    GENIUS Schedule of Support Export Report

    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Enter ‘Start date’
    • Enter ‘End date’
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Staff name
    • Provider invoice created
    • Provider invoice approved
    • Invoice to NDIA created
    • Invoice to NDIA approved
    • Invoice to client created
    • Invoice to client approved
    • Plan managed claim created
    • Plan managed claim approved
    • Engagements created
    • Engagements renewed

    GENIUS SunSystems Invoice Report

    • Enter ‘Start date’
    • Enter ‘End date’
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • GL code
    • Date
    • Invoice #
    • Amount
    • GST
    • Description
    • Client NDIS number
    • Unique client code

    Invoice to NDIA Status Report

    • Enter the relevant dates
    • Select ‘GENERATE REPORT’

    This will create a report with the following columns:

    • Plan end date
    • Amount invoiced
    • Amount paid
    • Amount gap

    Client Budget Report

    • Enter the client
    • Select the ‘Management type’
    • Select the engagement
    • Select ‘GENERATE REPORT’

    This will generate an Client Budget Report for Client + Engagement and is generated as a PDF file.

    You can automatically email clients/representatives their monthly Budget Report. To configure this, click ‘Edit engagement’ for the client you want to email the report to, scroll to the ‘Plan Style’ panel, and select ‘Yes’ for the option ‘Automatically email Client Budget Report’.

    •  Choose who should receive the report
      • Client/Representative and/or
      • Other

    These emails will be sent on the first day of a new month.  

    NetSuite Invoice Report

    • Enter approved after date
    • Enter approved before date
    • Select ‘GENERATE REPORT’

    This will generate a report with the following columns:

    • Entity Name
    • Invoice Id
    • Approved Date
    • Claim Period
    • Customer Id
    • Item No
    • Quantity

    GENIUS HICAPS Summary Report

    • Select ‘Start and end dates’
    • Select ‘GENERATE REPORT’

    This will generate a report with the following columns:
