    Professional looking events, activities and attendee registrations can be created and administered within eMarketing.

    The event landing page can be created using simple text or more complex designs using the same eMarketing drag-and-drop builder used to design campaign templates.

    NB:  The builder tools are designed to enable templates to be created by general users. However, if your organisation requires a more complex template layout, MYP recommends using the services of a digital graphic designer. If you are engaging the services of a graphic designer, it may be appropriate to set them up as a staff member (with limited permissions only) so they can access the eMarketing builder directly. Alternatively, MYP provides a design service and can build your template into eMarketing.  To request a quote, please submit a request through the Support Centre.

    Create event

    • Select ‘Create event’
    • Complete all relevant fields
    • Event names can not include < and >

    Add venue

    Typing into the venue field will begin a search in organisations from ARM.  If your venue does not already exist in ARM, select create venue to add an organisation.

    Select relationship categories

    Selecting relationship categories allows you to choose the type of relationship the contact registering for the event has. Selection of the ‘Promotion’ category allows a promotion code to be added.

    To create a new relationship category:

    • Enter the name
    •   Select plus button
    • Select ‘Save’

    Select Member/Subscriber

    Selecting member will open-up a Member/subscriber number optional field.

    Create promotional codes

    One or more promotional codes can be added if special promotional pricing is required by selecting the ‘Promotion’ relationship category check box. If registrants select the promotional price when registering, they will need to enter the correct promotional code to receive the promotional price.

    Create early bird

    An early bird special can be offered at a lower price.

    • Enter the price
    • Enter the expiry date

    NB:  The expiry date is the date from which the early bird price no longer applies. For example, if the early bird price applies up to and including 31st December, then the expiry date is 1st January.

    Add event code

    This is a compulsory field used when publishing the event.

    Add + create event/activity types

    Choose from the drop-down menu or select ‘Create’ to create a new activity or event type.

    Add + create conditions

    Choose from the drop-down menu or select ‘Create’ to create a new condition.

    Add attendee limits

    Limit attendees per registration e.g. If you are advertising free tickets, you may only want to allow a maximum of 5 per tickets per registration. If an attempt to register attendees exceeds the set limit (using the same registration contact details), an error message will display.

    NB: Sold out is displayed when an event reaches capacity or if the status is changed.

    Add event activities

    Does this event have activities (e.g. break-out sessions, workshops) for which attendees need to register?

    Selecting ‘Yes’ will create an additional screen to capture all the details associated with the activity.

    Select attendee login field

    Attendee login determines the login and password visibility on the event page. This feature does enable the registrant to obtain a login and password from the confirmation email generated by the first event registration. Once logged in, registrants have the option to change their password to one they will find easier to remember. Logging in for subsequent registrations will then result in many of the fields being pre-populated with existing registration information.

    If a member or subscriber membership number is required in order to receive a discount, select ‘Yes’ beside ‘Member/Subscriber registration number required’. The attendee will then need to enter the number upon registration in order to receive the discount. Please note the unique code for an organisation is located on the ‘Organisation’ page in ARM and the unique code for a contact is located on the ‘Contacts’ page in ARM.

    NB: Relationship categories allow for different pricing options for event activities depending on the relationship category (e.g. member, non-member etc.)

    Integrate GoToTraining API

    eMarketing has the ability to integrate with GoToTraining for MYP subscribers with GoToTraining logins. If users with GoToTraining API Permissions and API logins have been set up in ARM (refer the ARM + ARM Pro myHelp), a new option to select an organiser from a drop-down list will be visible. After selecting the organiser, a further drop-down list will appear with a list of all the training sessions that organiser is hosting.  Registering for the event operates in the usual way. However, alongside the standard registration confirmation email, the user will also receive a confirmation email from GoToTraining with a link to access the training session.

    Manage event payment

    Event payment – part of the set-up process provides the ability to create a link to your payment gateway. The payment gateway needs to be created in ARM and this feature will be visible to eMarketing users via ARM > Customisation > Payment gateway. If the payment gateway has been created in ARM an option to pay by credit card will automatically appear on the registration page. A payment transaction ID will be created and be visible on the ‘Edit registration’ page. Payment details will be automatically included in the registration confirmation email. The registration email will also include an automatically generated Registration Code to enable an efficient means of tracking registration payments. This code is included in registration reports.

    NB: For Australian paid events – if the payment gateway has been set up and the attendee has completed a paid registration, the confirmation email will include the required Tax Invoice information (please ensure that the subscriber organisation has the ‘Business number’ field in ARM completed as this is the field that captures the ABN details for the Tax Invoice).

    NB: For non-Australian attendees – the current payment gateway has been set up for Australia only and the attendee will not be able to pay online. The confirmation email will capture the required information and will be recorded in eMarketing as registered, but not paid. The subscribing organisation will need to follow up re payment.

    Create + administer activities

    To create/administer activities for an event:

    • Identify the relevant event and select ‘Edit’
    • Select ‘Administer activities’
    • Create or edit an activity as required (including pricing options for relationship categories, table booking availability etc.)

    NB: If member/subscriber/promotional pricing is a required option, the registration page will require a membership/subscriber/promotional number to assist in the member validation process.

    Create registration form

    Select the compulsory fields for the event registration page.

    Create event landing page

    Follow the same process outlined to create a campaign using the drag-and-drop builder to customise the event landing page.

    The text editor has additional tag options are:

    • Event
      • Event name
      • Start date
      • Start time
      • End time
      • Venue name
      • Venue address
    • Event manager
      • First name
      • Last name
      • Email

    Edit registration email

    To add a message to the registration confirmation email:

    • Identify the relevant event and select ‘Edit’
    • Select ‘Edit confirmation email’
    • Clicking ‘Send to self’ sends a test email to the current user to view the confirmation email. The text will appear at the end of the email whenever a client registers for the event

    Publish event

    To publish the event (e.g. generate a URL for inclusion in an eMarketing campaign or to be shared on social media):

    • Check the ‘Publish event’ checkbox
    • An automatically generated URL will appear. Copy this link into the eMarketing campaign

    View event

    To view the event (prior to publishing):

    • Identify the relevant event
    • Select ‘View event’
    • If further edits are required, select ’Cancel’, return to the relevant section, edit as required and select ‘Save’
    • Repeat the above until no further edits required
