    • Select ‘Administer surveys’
    • ‘Status’ buttons indicate current survey status i.e. Open, In progress, Completed
    • Available actions are dependent upon the status of survey:
      • ‘Open’ surveys (commenced set-up but not locked) have an ‘Edit’ button to enable set-up completion
      • ‘In progress’ surveys have a monitor button (check progress, add new respondents, edit/unsubscribe respondents, extend survey completion date)
      • ‘Completed’ surveys will display a ‘Reports’ button
      • ‘Open’ surveys can be edited + deleted
      • ‘Completed’ surveys can be archived

    Manual survey functions

    Add, edit + unsubscribe respondents

    • Identify the required survey + select ‘Monitor’
    • Select ‘Respondents’

    To add a respondent:

    • To add a respondent, select ‘+Add’
    • Enter the email address, first name + last name of the respondent
    • Click ‘Save’
    • The respondent will receive a login email the following business day

    To edit or unsubscribe a respondent:

    • Type the first few letters of the email address + select ‘Search’
    • Select ‘Edit’ or ‘Unsubscribe’ as required

    Automated survey functions

    Survey locked

    An automated ‘Lock Notification’ email will be generated and emailed to both the EP and client when the survey is locked.  It is important to carefully review all contents of this email to check for any errors in the set-up process.  (e.g. custom demographics, custom statements etc.)  If an error is identified, the EP can ‘Unlock’ the survey via MYP, make the necessary edits and then ‘Lock’ the survey at any time prior to the survey start date).

    Survey commencement

    An automated ‘Commencement Notification’ email will be generated and emailed to both the EP and client on the survey commencement date.  This confirms that the MYP survey instruction and login emails have been forwarded to the listed respondents.

    Survey updates

    An automated ‘Admin Update’ email will be generated on a daily basis throughout the survey period to both the EP and the client.  This confirms the participation rate of respondents and advises any bounce-back emails that need to be ‘Edited’ or ‘Unsubscribed’.

    Survey completion

    An automated ‘Complete Notification’ email will be generated on following the survey completion date to both the EP and the client.

    Respondents

    This component ensures appropriate communication to respondents during the survey period as follows:

    • MYP automated survey instruction + login emails are forwarded to all respondents on the selected commencement date.
    • MYP automated reminder emails are forwarded to all respondents who have not completed the survey at the intervals selected in the survey set up process. 

    NB: If respondents do not want to receive these reminder emails, they can simply click the ‘Unsubscribe’ link in the email and they will receive no further reminders.
