Manual survey functions are administered as follows:
- Select ‘Administer surveys’
- ‘Status’ buttons indicated the current status of a survey (i.e. Open, In progress, Completed)
Available actions are dependent upon the status of survey:
- ‘Open’ surveys (commenced set-up but not locked) have an ‘Edit’ button to enable set-up completion
- ‘In progress’ surveys have a monitor button (check progress, add new respondents, edit/unsubscribe respondents, extend survey completion date)
- ‘Completed’ surveys will display a ‘Reports’ button
- ‘Open’ surveys + ‘Completed’ surveys can be archived or deleted
Add, edit + unsubscribe respondents
- Identify the required survey + select ‘Monitor’
- Select ‘Respondents’
Add respondent
- To add a respondent, select ‘Add’
- Enter the email address, first name + last name of the respondent
- Click ‘Save’
- The respondent will receive a login email the following business day
Edit + unsubscribe respondent
- Type the first few letters of the email address + select ‘Search’
- Select ‘Edit’ or ‘Unsubscribe’ as required
Automated survey functions
Survey locked
An automated ‘Lock Notification’ email will be generated when the survey is locked. It is important to carefully review all contents of this email to check for any errors in the set-up process. (e.g. custom demographics, custom statements etc). If an error is identified, subscriber staff can ‘Unlock’ the survey via MYP, make the necessary edits and then ‘Lock’ the survey at any time prior to the survey start date).
Survey commencement
An automated ‘Commencement Notification’ email will be generated on the survey commencement date. This confirms that the MYP survey instruction and login emails have been forwarded to the listed respondents.
Survey updates
An automated ‘Admin Update’ email will be generated on a daily basis throughout the survey period. This confirms the participation rate of respondents and advises any bounce-back emails that need to be ‘Edited’ or ‘Unsubscribed’.
Survey completion
An automated ‘Complete Notification’ email will be generated on following the survey completion date.
Re-open survey for respondent
If the survey is still within the survey period and a respondent has finished the survey, it may be re-opened for the respondent should they request to update their responses. To re-open a survey for a respondent:
- Identify the required survey + select ‘Monitor’
- Select ‘Respondents’
- Identify the relevant respondent + select ‘Re-open’
- Select ‘Finish’
NB: The respondent is then able to click on the link in their email and the survey will open and pre-existing data will be visible.
