    Create client opportunities

    The ARM module provides an efficient means to create and manage opportunities. To create a single opportunity:

    • Identify the relevant client via search
    • Select ‘Opportunities’
    • Select ‘Create opportunity’ modify details
    • Select ‘Save’

    Administer client opportunities

    • Identify the relevant client via search
    • Select ‘Opportunities’
    • Select ‘Quick edit opportunity’ or ‘Edit opportunity’
    • Modify details + select ‘Save’

    Manage opportunity tasks

    The ARM module provides an efficient means to create and manage tasks for each client opportunity. Once the opportunity information has been entered.

    • Select ‘Create opportunity task’ beside ‘Administer tasks’ to create a task
    • Enter the task description + select the task owner

    Selecting ‘Staff’ will provide the ability to select the relevant staff member, selecting ‘Client’ will provide the ability to select the relevant client and selecting ‘Other’ will provide the ability to search for an alternative client from within ARM.

    • Add further details, including follow up dates, due dates etc.
    • Select the relevant reminders + notifications
    • Select ‘Save’

    Tasks can be re-ordered using the drag-and-drop feature by enabling the ‘Enable drag-and-drop task ordering’ setting.

    Tasks can be re-assigned within a opportunity from one staff member to another.

    Selecting the ‘re-assign’ button will open a pop-up.

    Tasks can be re-assigned from multiple staff members at once.

    NB: Task email notifications will be sent immediately on saving the task.

    NB: Automated emails will be sent each day to staff members that have opportunities and/or tasks with overdue dates assigned for follow up.  These emails will list all tasks that are due for action prior to, and including that day’s, date. These emails can be stopped by removing the follow up date from the opportunity.

    Copy and link opportunities

    A single opportunity can often apply to multiple clients e.g. in the tender stage of a project with multiple bidders.  Customise settings to allow the copy opportunities option to show.

    • Select the side navigation bar
    • Select ‘Customisation’
    • Select ‘Settings’
    • Select ‘Yes’ OPPORTUNITIES – Copy opportunities

    To copy and link opportunities:

    • Identify the relevant client via search
    • Select ‘Opportunities’
    • Identify + select the relevant opportunity
    • Select ‘Copy opportunity’
    • Search + select the relevant Client/Contact/Email the pop-up window
    • Select ‘Close’. The opportunities are now copied + linked.
    • When editing a linked opportunity, select ‘Save’
    • Select ‘Yes’ in the pop-up window to apply changes to all other linked opportunities. If ‘No’ is selected, the opportunity will no longer be linked with others.

    Once the relevant linked opportunity has been identified as successful:

    • Identify the relevant client via search
    • Select ‘Opportunities’
    • Identify + select the relevant opportunity
    • Select ‘Result’ from the ‘Opportunity stage’ drop-down menu
    • Select ‘Sale successful’ from the ‘Outcome’ drop-down menu
    • Select ‘Save’
    • Select ‘Yes’ in the pop-up window to mark all other linked opportunities as ‘Sale unsuccessful’ + archive them

    NB: To ensure reporting is not distorted, all opportunity reports will display linked opportunities in red, and the value is represented only once in totals.
